Terms of service.

Please read the following carefully. By booking a treatment appointment, class or other service with The Peacock Retreat Holistic Wellbeing you agree to the following terms and conditions. The Peacock Retreat Holistic Wellbeing reserves the right to cancel bookings and end sessions if these terms are breached.

Actual services may vary from those images and/or descriptions. It is the responsibility of The Peacock Retreat Holistic Wellbeing to ensure that all services listed on the website are accurately described.

Mondays 1 pm to 6.30 pm
Wednesdays 9.30 am to 12.30 pm and 1.30 pm to 7 pm

2.3 Times for specific classes and coaching sessions may take place outside of these core hours by arrangement or prior notice.

2.4 The Peacock Retreat Holistic Wellbeing reserves the right to vary their service availability without notice.

3. Timings and punctuality

3.1 Clients should plan to arrive punctually for the start time of their booked session.

3.2 First time clients booking a holistic treatment can expect their appointment to exceed the scheduled end time by up to 30 minutes to allow time to discuss any considerations highlighted on their completed client registration form and to explain how their treatment will progress.

3.3 If a client arrives after their scheduled appointment time, the session will still finish at the scheduled end time in consideration of the next client.

3.4 If a client is over 30 minutes late for their appointment, the appointment will be cancelled, and full payment will still be required.

4. Confirmation emails and texts
As a courtesy, clients will receive an email reminder of their appointment two business days prior to their appointment date. They will also receive a text reminder 24 hours beforehand. However, if The Peacock Retreat Holistic Wellbeing is unable to reach the client, please understand that it is the client’s responsibility to remember their appointment dates and times to avoid late arrivals, missed appointments, and the cancellation fee.

5. Cancellation policy

5.1 Cancelling or rescheduling an appointment - Clients must make every effort to make the appointment. The slot will have been reserved. When a client gives limited notice to cancel an appointment, The Peacock Retreat Holistic Wellbeing misses the opportunity to offer other clients that space and risks losing out on valuable income.
The Peacock Retreat Holistic Wellbeing understands that on occasion it may be necessary for a client to cancel or reschedule an appointment. As a courtesy, clients are asked to provide a minimum of 48 hours' notice.

5.2 The client can cancel or re-schedule their booking at any time, however The Peacock Retreat Holistic Wellbeing charges a fee if the client gives them less than 48 hours’ notice.

5.3 A 100% refund is given for cancellations/amendments with more than 48 hours’ notice.

5.4 A 50% refund is offered if the booking is cancelled or re-scheduled within 48 hours of the appointment.  Please note: a £5 administration fee is charged for each cancellation or late amendment.

5.5 If a client does not show up for the appointment this will be considered a cancellation with the full amount payable.

5.6 For gift voucher bookings please see point 10 below.

6. Minimum age requirements

6.1 All clients must be over 18 and give consent to any holistic treatment or service via the appropriate online client registration form and understand fully what the treatment will involve prior to their appointment.

6.2 If a client is aged between 16-18, their parent or guardian will be required to complete the client registration form and give consent on their behalf and be present during the entire treatment.

6.3 It is important to establish that the young person wants the treatment on a voluntary basis. If they give any indication that they do not wish to have a treatment, then the therapist will not treat them under any circumstances. It will be made clear to the young person that they are entitled to change their mind at any point during the treatment. Where a child lacks the capacity to consent, consent can be given on their behalf by a person with parental responsibility.

7. Client health

7.1 It is the client’s responsibility to complete the appropriate online Client Registration form at least the day before their appointment and include all information about their health.

7.2 For subsequent appointments it is the client’s responsibility to inform the therapist if there have been any changes in their health that may affect treatment or service provision.

7.3 Clients should ensure they are in good physical health and not likely to infect the therapist with any bacterial or viral infection during their visit. A re-scheduling or cancellation of any appointment due to poor health is still subject to the cancellation policy outlined in point 5 above.

7.4 If a client thinks they may have a condition that might affect their ability to receive their treatment or service (including pregnancy, chronic illness or high blood pressure), they must advise The Peacock Retreat Holistic Wellbeing prior to booking a treatment. This is to avoid disappointment on arrival.

7.5 If a client has an ongoing medical condition, they are advised to consult a doctor before booking a service.

7.6 Some of our services should not be performed under certain medical conditions. By booking a service, clients affirm that they have checked with appropriate medical professionals regarding the suitability of the service, and that they have disclosed on their questionnaire any medical or other allergy/health information before their appointment. The therapist will re-confirm this on the day of their appointment.

7.7 A contraindication is a condition that serves as a reason not to take a certain treatment or service due to the harm that it would cause a person. Some treatments or services may cause unwanted or dangerous reactions in people with allergies, high blood pressure or pregnancy.

7.8 The client confirms their understanding and agreement that The Peacock Retreat Holistic Wellbeing shall not bear any liability should they fail to seek and follow independent and appropriate medical advice in relation to their proposed treatment or service.

7.9 The client confirms their understanding that their therapist will not provide a service to diagnose illness, disease or any other physical or mental disorder.

7.10 The client acknowledges that a holistic treatment or service is not a substitute for medical examination, diagnosis or treatment and that it is recommended that they see their own doctor for any such advice.

8. Alcohol and drugs

8.1 Alcohol and/or drugs are contraindications and do not mix with any holistic treatment, class or coaching session. You agree to refrain from alcohol and/or drug use for at least 12 hours prior to your treatment or session.

8.2 If you are taking or have taken prescription drugs for pain management or anti-inflammatory purposes in the past 12 hours, please disclose this on arrival.

9. Client comfort

9.1 The therapist will check during the client’s treatment that they feel comfortable and as pain-free as possible. If a client experiences any pain or discomfort at any point, they agree they will immediately inform the therapist so that appropriate adjustments can be made to their level of comfort.

9.2 The Peacock Retreat Holistic Wellbeing aims to help improve client health and wellbeing and to not under any circumstances cause a deterioration in any existing conditions. If a client believes they have experienced a deterioration they should inform the therapist immediately.

10. Gift vouchers

10.1 Gift vouchers are available to purchase by contacting The Peacock Retreat Holistic Wellbeing and are valid for six months from purchase with the expiration date written on the voucher itself. Vouchers are no longer valid for use after this date.

10.2 Clients wishing to redeem a gift voucher should book directly by phone or email rather than via the online appointment booking system.

10.3 If the holder of the gift voucher is a new client, they will need to complete the online Client Registration form on booking so the therapist can assess the suitability of the treatment and check for any contraindications.

10.4 If the therapist deems the gifted treatment unsuitable for the client, then where possible an alternative treatment will be made available of the same value.

10.5 Where there is no suitable alternative treatment or class available the gift voucher will be deemed to have been spent, and no cash alternative will be due.

10.6 Where the gift voucher is for a monetary value, the recipient may choose to put the amount towards a more expensive service option and pay the difference themselves. Any upgrade payment of this kind is subject to eh cancellation policy.

11. Payments

11.1 For online bookings and shop purchases, all payments are via a third-party payment platform. Clients will be redirected to their site to process their payment and will be subject to their terms and conditions, privacy policy and other terms of use.  Any currency conversion costs or other charges incurred by the client in making a payment will be borne by the client in addition to the price due to The Peacock Retreat Holistic Wellbeing.

11.2 Access to the third-party payment platform may be occasionally restricted to allow for repairs, maintenance or the introduction of new facilities or services. The Peacock Retreat Holistic Wellbeing will attempt to provide reasonable notice of any scheduled interruptions to such a payment platform and will do what they can to restore the facility as soon as reasonably possible.
The Peacock Retreat Holistic Wellbeing takes reasonable care to ensure that the third-party payment platform is available and working at all times, but cannot guarantee continuous, uninterrupted or secure access at all times. Alternative payment facilities will be made available during any disruption to the payment platform.

11.3 Where bookings are made directly with The Peacock Retreat Holistic Wellbeing then payment may also be accepted via bank transfer, a card machine payment or cash subject to prior arrangement.

11.4 Where payment has been agreed by a method other than the online booking and payment system then the late arrival and cancellation terms and conditions stated above still apply.
